The Operations and Guest Services Manager is a dynamic, forward-facing leader who oversees the Museum of Contemporary Art North Miami's daily visitor engagement and front-of-house operations while managing the operational infrastructure that supports them. Reporting to the Director of Operations, this position is responsible for implementing a guest-centric, hospitality-based model of customer service, maintaining a nimble and efficient front-of-house operation, and serving as the operational link between guest-facing staff, the Operations Assistant, and museum leadership.
• The Operations and Guest Services Manager will:
• Hire, train, and manage a cohort of part-time front-of-house staff and the Operations Assistant, including staff responsible for offering information to visitors in-gallery, staffing the front desk, maintaining general gallery security, and supporting other departments as necessary.
• Oversee and manage the museum's admissions desk, including greeting guests, processing admissions, and offering information about exhibitions on view.
• Act as the first point of contact for all guest questions, concerns, and complaints, escalating feedback to Senior Management as necessary.
• Work in collaboration with all departments to implement processes and procedures that further the museum's strategic goals.
• Monitor the museum's main voicemail and general email inbox, answering questions and escalating issues as necessary.
• Create registration pages, discount codes, and webforms in the museum's CRM/POS (Altru).
• Implement data capture processes and issue weekly reports to Senior Management, including admissions totals, zip code data, visitor feedback, and additions to the museum's email list.
• Perform routine maintenance checks and report deficiencies and repair needs to the Building Manager.
• Act as the Museum's designated ADA coordinator, including researching best practices and requirements for compliance with the Americans with Disabilities Act.
• Maintain the Museum Shop, including entering and maintaining inventory, reporting product shortages, and restocking shelves and fixtures as necessary.
• Supervise and support the Operations Director with administrative functions, including maintaining printed and digital files, updating staff calendar and database systems (Monday and Altru), and tracking visitor attendance.
• Serve as the primary point of contact with the City of North Miami's IT Department, including opening and tracking service tickets.
• Support new hire onboarding across the Operations team
• Schedule Committee meetings and oversee preparation of meeting minutes on behalf of the Director of Operations.
• Prepare communication as necessary, including memoranda, reports, presentations
• Coordinate onsite meeting logistics, including room preparation, basic A/V setup, and post-meeting breakdown.
• Maintain and replenish office, kitchen, and first aid supplies; organize and maintain shared spaces to ensure functionality and cleanliness.
• Provide staff support during exhibition openings and other special events, both virtual and onsite.
• Perform other duties as assigned by the Director of Operations.
• 2-3 years of experience in a customer service environment; museum or cultural institution experience strongly preferred.
• Superior verbal and written communication skills, as well as professional interpersonal skills.
• Experience supervising and scheduling a front-of-house or customer-facing team.
• Experience working with point-of-sale systems.
• Ability to work well in a small, entrepreneurial team environment.
• Excellent attention to detail, organizational skills, and time-management skills.
• Maturity and discretion with a strong sense of personal and professional accountability.
• Comfort working within a public-private governance structure and with multiple stakeholders.
• High School Diploma required; Bachelor's Degree preferred.
• Mastery of Microsoft Office Suite.
• Experience with point-of-sale systems.
• Bilingual in English and Haitian Creole and/or Spanish.
• Experience with Altru or another similar CRM/database.
Physical Requirements: Ability to lift up to 25 lbs and stand for extended periods during events.

Compensation: $55,000 annual salary, including an excellent benefits package.
This is a full-time position averaging 40 hours per week, with long-term potential for growth. Initial scheduling will be Wednesday–Sunday, with discussion for a shift in scheduling after three to six months. It requires some early morning, late evening, and weekend hours as necessary, especially during periods of high volume (Miami Art Week, exhibition openings, etc.). The Museum of Contemporary Art North Miami (MOCA) seeks a Development Associate to support the administrative functions of the museum’s development department. This position is responsible for maintaining donor records, contracting, invoicing, processing gifts, and producing acknowledgement letters and other donor communications. They also provide critical support for development initiatives and events. Reporting to the Director of Development, they will help advance the museum’s strategic efforts to secure contributed revenue, including individual, membership, corporate, government, and foundation support. They will also conduct member renewal outreach calls and draft grant reports and requests. The Development Associate also serves as a key partner in donor stewardship, fundraising coordination, and project management, helping ensure timely follow-up, accurate data management, and an exceptional experience for members, donors, and funding partners.
• Ensures smooth administrative operations within the Development Department.
• Maintains donor records, processes gifts, and pulls queries and reports from the museum’s CRM system, Altru.
• Conducts prospect research on potential individual, corporate, and foundation funders.
• Updates the development prospect and moves management system to ensure timely follow-up and long-term relationship building.
• Prepares solicitation letters, decks, contracts, and donor reports.
• Submits invoice requests and tracks donor payments.
• Produces acknowledgement letters, membership cards, and other donor communications.
• Attends bi-weekly grants meetings and completes administrative tasks associated with grants, including preparing and mailing documents, contract execution, and updating grants pipeline tracking system.
• Assists in the planning and execution of development initiatives such as the museum’s annual Gala, membership acquisitions, and annual appeals.
• Assists in the planning and execution of development meetings, programs, and special events, including calendar management, event registration, invitation management, and attendance tracking.
• Schedules development meetings and tours for members, donors, and prospects.
• Works with the development team to complete benefit fulfillment for all members and donors.
• Supports the drafting of grant reports and grant requests, ensuring timely and accurate preparation of materials in alignment with funder requirements.
• Conducts outreach calls to lower-level members to support membership renewals, providing a welcoming and informative experience that encourages continued engagement.
• Tracks grant deadlines, reporting requirements, and deliverables to support compliance with funding obligations.
• Coordinates cross-functional development projects with internal departments and external partners to ensure deadlines are met.
• Maintains the integrity of donor data within the CRM by performing regular audits, updates, and reporting.
• Assists with coordinating fundraising campaigns and annual giving initiatives, including timelines, communications, and tracking deliverables.
• Serves as a primary point of contact for donor stewardship activities, ensuring timely follow-up and relationship management.
• Supports administratively with the Annual Gala, including tracking guest lists, conducting check in, and other tasks as needed.
