Community Programs Manager Job Description

The Community Programs Manager is a dynamic, public-facing professional, responsible for developing, implementing, and evaluating innovative education and engagement programs that connect MOCA’s exhibitions and mission to diverse community audiences, from youth to seniors. Reporting to the Director of Education and Community Engagement, this role combines strategic program development with hands-on management of program logistics, staff supervision, and cross-departmental collaboration to ensure an exceptional visitor and participant experience.

Major Areas of Responsibility-

Program Development & Management:

· Plan, develop, and implement mission-aligned community programs targeting youth, adults, and senior audiences.

· Oversee key community programs including Junior Docent Program, MOCA Seniors, MOCA School and Public Tours, Jazz at MOCA, and MOCA Makers.

· Collaborate with the Director of Education and Community Engagement and the Youth Education Manager to create exhibition-informed educational workshops for booked tours and youth programs.

· Support the design, execution, and evaluation of exhibition programs and interactives in partnership alongside the Education, Exhibitions, and Communications teams.

· Ensure all programs align with MOCA’s strategic goals and mission.

Outreach & Partnerships:

· Build and oversee school tour outreach, scheduling, and reservation processes in the Customer Relationship Management/Point of Sale (CRM/POS) systems.

· Conduct outreach to schools, community organizations, and local stakeholders to expand participation in tours and programs.

· Represent MOCA at strategic community partnership meetings and events to identify new programming and outreach opportunities.

· Serve as liaison to schools, city representatives, and other partners to strengthen community engagement.

Staff & Volunteer Supervision:

· Assist with the training, scheduling, and supervision of part-time staff and independent contractors who support MOCA tours, provide departmental assistance, lead art workshops, and contribute to other departmental initiatives as needed.

· Lead internal exhibition tour training for staff and cross-departmental team members.

· Provide ongoing support and feedback to teaching staff to ensure high-quality visitor experiences.

Data, Evaluation & Reporting:

· Track and analyze attendance, demographics, and participant feedback for all community programs.

· Maintain accurate records in CRM/POS systems in collaboration with the Operations Department.

· Assist with budget tracking, supply orders, and resource allocation.

· Use data insights to refine programming and prepare reports for internal and grant-related use.

Administration & Operations:

· Coordinate program logistics, including room/space reservations, materials management, and security needs.

· Create and manage program registration pages in the CRM/POS in collaboration with other departments.

· Work with all museum departments to implement efficient processes and procedures that support organizational strategy.

· Support communications efforts by providing accurate program information for marketing and promotion.

· Other duties as assigned.

Qualifications-

· 3-5 years of experience in a museum program or an adult arts education environment

· Superior verbal communication skills, as well as professional interpersonal skills.

· Experience working with POS/CRM systems

· Ability to work well in a small, entrepreneurial team environment.

Requirements-

· Bachelor’s Degree required or significant relevant experience

· Mastery of Microsoft Office Suite

· Experience with POS/CRM systems

· Experience in building community partnerships and managing multi-program portfolios.

· 1-2 years supervisory experience

· Flexibility in scheduling, with the ability to work early mornings, evenings, and weekends as required for programs and special events.

Desired-

· Bilingual in English and Spanish or Haitian Creole

· Proficiency in Adobe Acrobat Pro

· Experience with Altru, Monday, or other databases

· Candidates with interest in the museum field

· Event production experience

This is a full-time, salaried position Monday-Friday. The position will require some early morning, late evening and weekend hours as necessary due to museum events. A level 2 background check will be required upon the offer of employment.

Supervises: Part-time Education Staff

Compensation: Salary starting at $55,000 annually, commensurate with experience with an excellent benefits package.

The Executive Assistant plays a central role in MOCA North Miami’s administrative operations. They manage the Executive Director’s calendar, maintain interdepartmental communication, and provide administrative support. They serve as a liaison to the Board of Trustees, City of North Miami officials, and other key constituents, and must be a collaborative team player with a strong sense of discretion and professionalism. This position is ideal for someone who thrives in a dynamic, fast-paced arts organization.

Major Areas of Responsibility

• Provide daily updates to the Executive Director regarding staff schedules, projects, deadlines, and developing issues.

• Prepare agendas and take detailed minutes for critical meetings, including:

• Board of Trustees and Committee meetings

• Weekly Directors’ meetings

• Monthly All-Staff meetings

• Maintain communication across departments, track deadlines, and manage the museum’s master calendar.

• Draft and manage all executive correspondence, including letters, memoranda, emails, reports, and presentations.

• Coordinate appointments and meetings for the Executive Director, including A/V setup, catering, and materials preparation.

• Make travel arrangements for the Executive Director and others as needed.

• Maintain organized digital and printed records for the Executive Director.

• Organize and support Board of Trustees meetings, including orientations, packets, and files.

• Provide event support during exhibition openings and other special museum events.

• Track and reconcile credit card charges and other expenses on behalf of the Executive Director; assist with basic budget tracking.

• Assist in the planning and coordination of special projects or initiatives on behalf of the Executive Director, including research, timelines, and milestone tracking.

• Manage and safeguard sensitive documents and confidential information related to staff, board matters, or strategic planning.

The Director of Finance is a dynamic and experienced member of MOCA’s team that plays a crucial role in overseeing all operational aspects of the museum’s finances. The Director is an expert in in database management, financial controls and best practices. The ideal candidate ensures compliance while fostering a culture of support and collaboration across departments. The Director participates in the short-and-long term financial planning of the organization and drives financial sustainability to support our mission.

Essential Roles and Responsibilities

Financial Planning: Strategy & Budget

• Develop, in collaboration with the Deputy Director, financial strategy to support the organization's goals and long-term sustainability.

• Lead the preparation of the annual budget.

• Oversee implementation of financial plans and annual budgets for each department.

• Monitor and analyze financial performance across departments and provide regular reports.

Financial Reporting

• Prepare accurate and timely monthly, quarterly, and annual financial reports.

• Provide regular updates for various internal and external stakeholders on all finance functions and activities.

Financial Operations: Accounting and Finance

• Oversee all accounting and finance functions of the organization (including the 501(c)3 and the City of North Miami requirements).

• Ensure all fiscal practices meet the highest standard of integrity and compliance.

• Oversee and implement financial policies and procedures that maintain an effective internal control environment and oversee adherence to policies.

• Continually work toward promotion of efficiency and effectiveness of all finance functions, via process and workflow improvements.

• Provide accounting and financial related assistance to other departments, including participation in training staff on fiscal procedures and budget management as needed.

• Perform year-end accounting system close, including the production of 1099 forms.

• Lead annual audit preparation and Form 990 submission.

• Process payroll.

• Develop and maintain effective tools for managing grants, supporting grant budget preparation, tracking, and reporting.

Kalifikasyon:

• Bachelor’s degree in Finance, Accounting, or related field. MBA or CPA preferred.

• A minimum of 5 years of relevant, progressive work experience, in the nonprofit sector.

• Strong knowledge of nonprofit accounting principles, regulations, and best practices.

• Proficiency in financial software.

This is a full-time, salaried position, with hours typically Monday-Friday 9:30am-5:30pm. The position will require some early morning, late evening, and weekend hours as necessary due to museum events or other relevant meetings. While generally an in-person position, the museum does provide provisions for occasional hybrid work. A level 2 background check will be required upon the offer of employment.
